Administrative Assistant/Receptionist in a Mental Health Office (Monday - Thursday)
Admin Assistant Duties and Responsibilities:
1. Client and Client Records
a) Work closely with insurance providers to ensure new and current authorization
b) Handle third party reimbursement and insurance reports (includes insurance verification & problem solving)
c) Verify counseling session dates for auditing
2. Fund-raising and Marketing
a) Coordinate and plan for fund-raising activities [with Admin Director]
b) Engage in writing appeals and thank you letters
c) Help maintain database for FLRC donors
d) Updating marketing materials and agency brochures
e) Represent FLRC at community agencies, church and business functions with other FLRC staff (if needed)
f) Updates to website
3. Accounting and Billing Responsibilities
a) Record and post client payments, other agency receipts, and make bank deposits
b) Bill insurance claims
c) Work on billing and collections, including monthly client statements
d) Set up new clients, vendors and accounts in computer system
4. Payroll
a) *Trained to do this in absence of Admin Director
5. Additional responsibilities – to perform or oversee
a) Participate in educational activities (training to adhere to HIPAA compliance and insurance carrier compliance) and staff meetings
b) Perform administrative support to FLRC staff--documentation as needed, etc
6. Other tasks as requested
